Privacy notice

1. Who we are

This website is run by Yorkshire Autonomous Transit Ltd (“YA Transit”, “we”, “us”), a company registered in England & Wales under company number 17446470, with its registered office at Skipwith Road, York, YO19 6JA.

We are the data controller for the personal information described in this notice. If you have any questions, please contact us at hello@yatransit.co.uk.

2. What information we collect

We do not ask you to create an account. We collect personal information in the following ways:

• Monthly briefing sign-up. If you sign up for the monthly YA Transit briefing, we collect your email address, your first name if you choose to give it, a record that you ticked the consent box, the page you signed up on and the date and time of your sign-up.
• Route survey. If you complete our route survey, we collect your answers: the journeys you make, how often you make them, what they are for, how you travel now, the cost bands you choose, your interest in an electric private-hire service and any comments you write. Giving your email address is optional. If you do give it, we also collect it along with which of the two boxes you ticked (the monthly briefing and/or follow-up questions about your answers).
• Tracker corrections and sightings. If you use the form on our UK & Europe Robotaxi Tracker, we collect what you write (the type of report, the entry or place, your description, and any date or source link you give), a record that you ticked the consent box, and the page you sent it from. Giving your email address is optional. We don’t accept photos or files, and we ask you not to include anyone’s face, name, number plate or other personal data.
• Emails you send us. If you email us at hello@yatransit.co.uk, we will receive your email address, your name if you include it, and anything else you choose to put in your message.
• Technical information. Like most websites, our hosting provider automatically records basic technical information when you visit, such as your IP address, browser type and the pages you request, for security and to keep the site running. When you send one of our forms, our form processor (see section 4) also receives technical information such as your IP address and browser details.

Please don’t include sensitive information (for example about your health) in survey comments, tracker reports or emails.

3. How and why we use your information

• To send you the monthly briefing, if you have signed up for it. Our lawful basis is your consent. You can withdraw your consent and unsubscribe at any time by emailing hello@yatransit.co.uk; this won’t affect anything we did before you withdrew it.
• To plan our routes and services, using your survey answers to understand which journeys people make and what they might want from us. We look at the answers individually and in total, and we only share results in summary form that does not identify you. Our lawful basis is our legitimate interests in planning a new transport service.
• To check and update our tracker, using your correction or sighting as a lead that we check against public sources before changing anything. We never publish your name or email address, and if you gave your email we only use it to reply about your report. Our lawful basis is our legitimate interests in keeping the tracker accurate.
• To ask you follow-up questions about your survey answers, only if you gave your email address and ticked the box asking us to. Our lawful basis is your consent, which you can withdraw at any time by emailing hello@yatransit.co.uk.
• To reply to your email and deal with your enquiry, including from potential investors or partners. Our lawful basis is our legitimate interests in responding to people who contact us.
• To keep a record of our correspondence and of your consent in case you or we need to refer to it later. Our lawful basis is our legitimate interests in running our business and showing that we have your permission to email you.
• To keep this website and our forms secure and working, through the technical information described above and an anti-spam check on our forms. Our lawful basis is our legitimate interests in operating a secure website.

We will only add you to our mailing list if you ask us to, we will not sell your personal information, and we will not use it for purposes unrelated to YA Transit.

4. Who we share it with

We use trusted service providers to run this website, our forms and our email:

• Website hosting: GitHub Pages (GitHub, Inc.), which hosts this website and keeps basic server logs.
• Form processing: FormSubmit (formsubmit.co), a third-party service that receives what you enter in our briefing sign-up, route survey and tracker forms and forwards it to us by email. FormSubmit’s own privacy policy explains how it handles information, and says it may use cookies. [Confirm FormSubmit’s operator, where it stores and processes data, and the data processing terms or safeguards that apply.]
• Email hosting: [Email hosting provider for hello@yatransit.co.uk, e.g. IONOS], which stores the emails you send us and the form submissions forwarded to us.

These providers only process your information on our instructions, or as described in their own privacy notices. We may also share information if required by law.

5. International transfers

Some of our service providers may store or process information outside the UK, for example in the United States. Where this happens, we will make sure appropriate safeguards are in place as required by UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or another approved mechanism. 6. How long we keep it

• Monthly briefing: we keep your email address, name and the record of your consent for as long as you are signed up. If you unsubscribe, we will remove you from our mailing list and delete your details, apart from a short record that you unsubscribed so we don’t email you again by mistake.
• Route survey: we keep your answers for [retention period for survey responses, e.g. 2 years], and then delete them or keep only totals that do not identify you. If you gave your email address for follow-up questions, we will delete it when we have finished asking them, or sooner if you ask us to.
• Tracker corrections and sightings: we keep your report for [retention period for tracker reports, e.g. 12 months] after we have checked it, and then delete it. If we remove or anonymise a report sooner, we may keep a note of the public source it led us to.
• Emails: we will keep your emails and our replies for as long as we need them to deal with your enquiry, and then for [retention period, e.g. 2 years after our last contact with you], unless you ask us to delete them sooner or the law requires us to keep them longer. We will then delete them securely.

7. Your rights

Under UK data protection law, you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information;
• ask us to restrict or stop using your information, or object to how we use it;
• ask us to transfer your information to another organisation, where applicable.

Where we rely on your consent (for the monthly briefing and survey follow-up questions), you can also withdraw it at any time.

To use any of these rights, to unsubscribe from the monthly briefing or to ask us to delete your survey answers, email hello@yatransit.co.uk. Our briefing emails will also tell you how to unsubscribe.

8. Cookies

This website does not currently use cookies, analytics or advertising trackers, and our fonts are hosted on our own site rather than loaded from third parties. When you send one of our forms, your browser goes briefly to FormSubmit’s website before returning to our thank-you page, and FormSubmit says in its privacy policy that it may use cookies. If our own use of cookies changes, we will update this notice and ask for your consent where required.

9. Children

Our website is intended for adults. We do not knowingly collect information from children.

10. Complaints

If you have concerns about how we use your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint.

We may update this notice from time to time. The latest version will always be on this page, with the date it was last updated.
